Please read this agreement carefully and thoroughly. This is a legally binding contract between you (“traveler,” “participant,” “you,” or “your”) and Wander With Wande LLC (“Wander With Wande,” “WWW,” “we,” “us,” or “our”).

By booking a trip, purchasing any travel service, enrolling in any itinerary created or curated by Wander With Wande, or by using our website/platform, you acknowledge that you have read, understand, and agree to be bound by these Terms & Conditions.

1. BOOKING CONTRACT

  • Branded/partner trips
  • Any services, products, or itineraries designed, curated, arranged, or facilitated by Wander With Wande

These Terms constitute the entire agreement between you and Wander With Wande.

If you submit a booking for more than one traveler, you confirm that:

  1. You have the authority to accept these Terms on behalf of all travelers named in the booking.
  2. All travelers are bound to these Terms.
  3. You are responsible for communicating all terms to every traveler.

2. TRAVELER ELIGIBILITY & RESPONSIBILITY

By booking with us, you represent and warrant that:

  • You are at least 18 years old.
  • You are legally able to enter into this agreement.
  • You are traveling voluntarily and accept all risks associated with international and domestic travel.
  • You will comply with all instructions, rules, and policies communicated by Wander With Wande staff, trip leaders, vendors, and suppliers.

Wander With Wande reserves the right to refuse service, remove travelers from a trip, or deny participation at any time for:

  • Unsafe behavior
  • Harassment, threats, or disruption
  • Violations of local law
  • Failure to follow trip leader or vendor instructions
  • Conduct that endangers yourself, staff, or other participants

Removal for cause does not entitle travelers to refunds or credits.

3. COMPANY ROLE & LIABILITY DISCLAIMER

Wander With Wande is a travel curator, planner, and coordinator, not the direct provider of all services. We do NOT own or operate:

  • Airlines
  • Hotels, villas, or accommodations
  • Transportation companies
  • Restaurants
  • Tours, activities, or excursions
  • Third-party suppliers

All third-party vendors operate independently and are solely responsible for providing their services.

You acknowledge and agree that:

  • We are not liable for acts, errors, negligence, insolvency, or omissions of suppliers.
  • Supplier terms, conditions, and liability waivers apply in full.
  • We do not control the financial status, operations, or performance quality of suppliers.

Travel inherently involves risk. You assume responsibility for all risks, including but not limited to:

  • Illness, injury, accidents
  • Weather-related delays
  • Natural disasters
  • Civil unrest
  • Loss, theft, or damage of property
  • Supplier changes or cancellations

We highly recommend purchasing comprehensive travel insurance.

4. PRICING, VALIDITY & PROMOTIONAL TERMS

All trip prices are based on estimates, vendor quotes, market conditions, and currency exchange rates at the time itineraries are created.

We reserve the right to:

  • Adjust pricing prior to booking confirmation
  • Correct pricing errors
  • Modify or withdraw promotions at any time
  • Deny reapplication of expired promotions
  • Charge surcharges if vendor or currency costs increase significantly

Discounts, early-bird pricing, or promotional rates are applied solely at our discretion and cannot be retroactively added.

5. TRAVELER INFORMATION REQUIREMENTS

To confirm your booking, you must provide accurate and complete information, including:

  • Full legal name
  • Date of birth
  • Nationality
  • Contact information
  • Passport details (if applicable)
  • Emergency contact
  • Trip preferences (room type, dietary notes, etc.)
  • Medical/disability information relevant to your ability to travel safely

Failure to submit required information by stated deadlines may:

  • Lead to late fees
  • Lead to cancellation under the cancellation policy
  • Prevent ability to travel
  • Void eligibility for refunds or credits

It is the traveler’s responsibility to ensure all information is accurate.

6. MEDICAL, FITNESS & SPECIAL NEEDS DISCLOSURE

By booking, you affirm that:

  • You are physically and mentally able to participate in the full itinerary.
  • You do not have any condition that would pose a risk to yourself or others.
  • You will bring and manage your own medication, medical devices, and treatment needs.

Wander With Wande:

  • Is not responsible for medical care
  • Does not provide medical supervision
  • Cannot guarantee accommodations for dietary, mobility, or medical needs
  • May remove a traveler if their condition endangers the group or disrupts the trip

You authorize emergency medical treatment at your own expense if needed.

7. BOOKING CONFIRMATION

Your reservation is not confirmed until:

  • Your deposit is paid
  • You receive an official confirmation email from Wander With Wande or our booking system

If a payment fails, or required information is not submitted, Wander With Wande may treat the booking as incomplete or canceled.

SECTION 9 — PAYMENT SCHEDULE & REQUIREMENTS

9.1 Deposit & Initial Payment

At the time of booking, you are required to pay a non-refundable, non-transferable deposit (“Deposit”).

  • The Deposit amount is stated on the trip booking page (typically $500, but subject to change).
  • The Deposit is always non-refundable, never eligible for travel credit, and never returned for any reason, including but not limited to: illness, work conflicts, family emergencies, dissatisfaction, or failure to read these Terms.

By submitting the Deposit, you acknowledge that Wander With Wande, LLC (“Wander With Wande,” “we,” “us”) begins incurring planning costs immediately, including vendor holds, staff time, and administrative services.

9.2 Monthly Installment Structure

Your remaining payments (beyond the Deposit) are automatically calculated by our booking system at checkout.

  • The system divides the remaining balance into equal monthly installments based on the date you book and the requirement that your trip must be paid in full no later than 30 days before departure.
  • Example: If you book 5 months before the trip, the system may generate four monthly payments plus a final payment — whatever schedule is needed so that your balance is fully cleared 30 days before the trip.

You agree to review your installment schedule at checkout before completing your booking.

9.3 Final Payment Deadline

All trips must be paid in full at least 30 days prior to departure. If your booking occurs within 30 days of departure, the full amount is due immediately.

We reserve the right to:

  • automatically charge your stored payment method for any missed installment
  • cancel your trip for non-payment
  • enforce all cancellation penalties described in Section 11

9.4 Auto-Pay Failures & Card Retries

If an installment payment fails, you authorize us to retry the payment as follows:

  • Retry #1: 2 days after the failed charge
  • Retry #2: 5 days after Retry #1
  • Retry #3: 3 days after Retry #2

During this period, you will receive at least one notice to update your payment method.

If, after these attempts, payment still fails, we may:

  • treat the missed payment as a breach of contract
  • cancel your reservation
  • forfeit all monies paid under the cancellation policy
  • reassign your spot to another traveler

9.5 Late Payment Grace Period

You get a 10-day grace period from the due date to either:

  • make the payment, or
  • contact us to request an extension (granted at our sole discretion)

If you do not take action within 10 days, your reservation may be canceled with no refund or credit.

9.6 Third-Party Payment Fees

We are not responsible for any:

  • overdraft fees
  • insufficient funds charges
  • duplicate transaction fees
  • credit card interest
  • BNPL fees (Affirm, Klarna, etc.)

You agree that these fees are strictly your responsibility.

9.7 WAITLIST

If a Trip is sold out, you may join a Waitlist if available.

  • If a spot opens, we will notify you by email and/or text.
  • You will have a limited window (typically 24 hours) to secure your spot by paying the Deposit.
  • If you do not complete payment within that timeframe, the spot may be offered to the next person on the Waitlist.

SECTION 10 — CREDIT / DEBIT CARD CHARGEBACK POLICY

10.1 No Chargebacks

By booking with us, you agree that chargebacks are not an acceptable method to avoid or circumvent our cancellation policy.

We will vigorously dispute any chargeback.

10.2 Evidence Submitted in Disputes

We will provide:

  • your signed Terms & Conditions
  • all receipts and payment logs
  • communication records
  • cancellation and refund clauses
  • proof of services rendered

10.3 Fraudulent or Invalid Chargebacks

If we win a chargeback dispute, you agree to pay:

  • all attorney fees
  • administrative time
  • chargeback penalty fees
  • damages caused by the dispute

10.4 Required Good-Faith Resolution Attempt

You must attempt to resolve any issue directly with Wander With Wande before initiating a dispute with your financial institution.

Failure to do so is considered a breach of contract.

SECTION 11 — CANCELLATION BY TRAVELER

11.1 General Cancellation Rules

All cancellations must be submitted via our official Trip Change Form. Emails, DMs, texts, or verbal cancellations are not accepted.

Your Deposit is always non-refundable and never converted into credit.

11.2 Cancellation Windows & Penalties

A. 91+ Days Before Departure

  • 25% of the total trip cost is non-refundable, plus the non-refundable Deposit
  • Any refundable portion (if any) is issued as travel credit only
  • Travel credit valid for 12 months from date of issue

B. 61–90 Days Before Departure

  • 50% of the total trip cost is non-refundable, plus the non-refundable Deposit
  • Any excess paid may be issued as travel credit only
  • Credit valid for 12 months

C. 60 Days or Less Before Departure

  • 100% of the total trip cost is non-refundable (after Deposit)
  • No refunds. No credits.
  • All payments are forfeited

11.3 Reservation Transfers to Another Traveler

Transfers to another person are not allowed.

Transfers to another Wander With Wande group trip may be possible only at our discretion and only if:

  • requested sufficiently in advance
  • the destination and dates allow transfer logistics
  • vendors approve changes
  • the traveler meets all requirements

Transfers are not guaranteed under any circumstances.

11.4 Why Payments Are Non-Refundable

Due to contractual obligations with hotels, villas, transportation companies, activity vendors, and staffing, Wander With Wande must pre-pay suppliers far in advance.

When you book a trip, we immediately incur:

  • hotel and villa deposits
  • vendor commitments
  • administrative labor
  • planning and itinerary development
  • contractual penalties if we reduce headcount

For that reason, payments — including deposits and installments — are non-refundable.

11.5 No Exceptions to Cancellation Policy

There are no exceptions, including for:

  • illness, injury, or pregnancy
  • family emergencies
  • employment changes
  • visa or passport issues
  • missed or delayed flights
  • fear of travel
  • weather
  • epidemics, pandemics, or outbreaks
  • government advisories
  • personal scheduling conflicts
  • dissatisfaction with room type or vendor conditions

This is why travel insurance is required.

SECTION 12 — CANCELLATION OR CHANGES BY WANDER WITH WANDE

12.1 Right to Cancel, Modify, or Reschedule

Wander With Wande, LLC reserves the right, at any time and in its sole discretion, to:

  • cancel a trip,
  • reschedule a trip,
  • modify or replace the itinerary,
  • change accommodations, vendors, or activities,
  • adjust dates or logistics due to operational needs.

This may occur for reasons including, but not limited to:

  • vendor cancellations,
  • hotel or villa availability issues,
  • significant price changes from suppliers,
  • safety or security concerns,
  • legal restrictions,
  • unpredictable local conditions,
  • insufficient number of travelers,
  • or other commercial or operational reasons.

These adjustments do not entitle you to a refund, except as explicitly provided below.

12.2 If Wander With Wande Cancels a Trip

If we cancel a trip for reasons within our control (not Force Majeure), you will receive:

✔ Travel credit equal to all amounts you have paid toward the trip

  • Valid for 12 months from date of issue.
  • A trip may occur after 12 months, but credit must be redeemed within that time.
  • Deposit remains non-refundable but is included in the credit amount.

12.3 If a Trip Is Affected by Force Majeure

“Force Majeure” includes events outside our reasonable control, such as:

  • acts of God,
  • natural disasters,
  • extreme weather,
  • political instability,
  • civil unrest,
  • pandemics/epidemics,
  • government restrictions,
  • transportation shutdowns,
  • labor strikes,
  • severe vendor disruption.

In such events, Wander With Wande may:

  • cancel,
  • postpone,
  • reschedule,
  • modify,
  • or alter the itinerary.

You will receive:

✔ Travel credit equal to the amount paid MINUS unrecoverable vendor costs.

Examples of unrecoverable costs include:

  • hotel/villa deposits not returned to us,
  • vendor penalties,
  • activity deposits,
  • non-refundable transportation,
  • staff/operational costs already incurred.

No cash refunds will be issued for Force Majeure situations.

12.4 Not Responsible for External Expenses

Wander With Wande is not liable for any costs outside your trip package, including:

  • airfare or flight changes,
  • transportation to/from airports,
  • visa fees,
  • missed work,
  • lost accommodations booked independently,
  • travel insurance decisions.

12.5 Itinerary Flexibility

You understand and acknowledge that travel requires flexibility. The itinerary as displayed online is representative, not guaranteed.

We may adjust:

  • routes,
  • accommodations,
  • activity order,
  • restaurants,
  • transportation methods,
  • timing,
  • or vendors.

Such adjustments do not qualify for refunds or credits.

12.6 WHAT’S INCLUDED & WHAT’S NOT

The specific inclusions for each Trip will be clearly listed on the Trip page or proposal and may include items such as:

  • accommodations for the stated number of nights;
  • certain meals (e.g., daily breakfast, selected group dinners);
  • specified activities, tours, and experiences;
  • group ground transfers and on-the-ground transportation listed in the itinerary;
  • presence of a Wander With Wande host or local partner where stated.

Anything not expressly listed as “Included” is not included. Typically not included:

  • international or domestic flights (Wander With Wande does not book flights);
  • airport transfers not stated in the inclusions;
  • visas, entry fees, and passport costs;
  • travel insurance (mandatory but purchased separately by you);
  • vaccinations, testing, and health-related documentation;
  • optional activities or upgrades;
  • additional meals, drinks, and personal expenses;
  • tips and gratuities (unless explicitly stated as included).

SECTION 13 — TRAVEL INSURANCE REQUIREMENT

13.1 Mandatory Insurance

All travelers are required to purchase travel insurance at the time of booking.

Your policy must cover, at minimum:

  • trip cancellation,
  • trip interruption,
  • medical emergencies,
  • hospitalization,
  • emergency evacuation.

We additionally highly recommend coverage for:

  • Cancel For Any Reason (CFAR),
  • baggage loss,
  • flight delays,
  • weather disruption,
  • supplier default.

13.2 Proof of Insurance

You must upload proof of insurance no later than 14 days before departure.

Failure to provide proof:

  • results in removal from the trip,
  • without refund or travel credit.

13.3 We Verify “Existence,” Not “Adequacy”

Wander With Wande only confirms that a policy exists. We do not:

  • review coverage levels,
  • assess policy adequacy,
  • interpret exclusions,
  • verify medical/evacuation limits,
  • guarantee insurer performance,
  • or accept any liability for insurance decisions.

You alone are responsible for ensuring you are adequately covered. We are not liable for any loss that could have been covered by insurance, regardless of the policy you choose.

SECTION 14 — TRAVELER RESPONSIBILITIES DURING THE TRIP

By participating in a Wander With Wande trip, you agree to:

  1. Comply with all local laws, customs, and regulations.
  2. Respect the culture, property, and safety of all people and places visited.
  3. Follow all directions from Wander With Wande staff, drivers, guides, and vendors.
  4. Evaluate your own physical and mental fitness to participate in all planned activities.
  5. Refrain from behavior that:
    • endangers yourself or others,
    • disrupts the group experience,

  • refusal to comply with safety guidance,
  • intentional property damage,
  • or actions that compromise group safety.

Removal results in immediate termination of the trip without refund or credit.

You are financially responsible for any:

  • damages you cause,
  • hotel/villa penalties,
  • vendor losses,
  • fines or legal consequences.

SECTION 15 — CLAIMS & COMPLAINTS

15.1 On-Trip Concerns

If you experience an issue during your trip, you must notify your trip host or Wander With Wande support immediately so we have an opportunity to address it.

Failure to report issues during the trip limits our ability to assist and may waive your right to seek remedies.

15.2 Submitting a Post-Trip Complaint

Any post-trip complaint must be submitted in writing to info@wanderwithwande.com within 5 days after the trip ends.

Complaints received after this window may not be reviewed.

15.3 Complaints Do NOT Equal Liability

Submitting a complaint:

  • does not constitute an admission of fault by Wander With Wande,
  • does not guarantee compensation, refund, or credit,
  • does not establish legal responsibility or damages,
  • does not override the cancellation policy.

We may offer resolutions at our sole discretion, but nothing in this section shall be interpreted as obligating Wander With Wande to provide refunds, compensation, or credits.

15.4 Documentation Requirement

If you believe a vendor failed to deliver a service, you must provide:

  • time-stamped evidence,
  • written description,
  • photos/videos (if applicable),

Failure to provide documentation may result in denial of your claim.

  • business losses,
  • inconvenience,

  • All entry requirements are satisfied
  • You meet vaccination or health prerequisites of each country
  • Your travel documentation matches your booking information exactly

Wander With Wande does not provide visa processing or legal travel documentation services for travelers.

  • Confirm accuracy of visa requirements
  • Guarantee entry into any country
  • Handle permits

You will receive no refund, no credit, and no compensation.
